Define and outline your CAFM needs. This is one of the most important steps, and if done properly can reduce your overall CAFM costs.
This step can begin at any point, however you should probably begin your needs analysis first in order to determine which type of system(s) to consider. The actual purchase of the system does not need to be done until your drawings and data are ready (or near ready) for import. Also, get your IT department involved early so that you'll have a good understanding of what their requirements are.
Every CAFM system, no matter which system you choose, requires drawings. Depending on your drawing availability (none, paper, cad, etc.) this can be a time consuming, and one of the more costly steps in CAFM implementation. Start this step early.
Like a drawing inventory, every CAFM system requires data. You can begin the data collection step by identifying your primary data sources such as HR, Security, etc. Start collecting and organizing your data in spreadsheets and/or a database.
After you have collected the data that you want to utilize in your CAFM system, you'll need to prepare that data for proper import. Begin normalizing the data for the CAFM database by determining "unique identifiers" for data records, identifying and eliminating duplicate data, etc.
Purchasing a CAFM system is a big step, but keep in mind that whether you purchase your system through Simple Solutions FM or another vendor, there is plenty to do before you have to take it.
